Categories and entries

How a base is structured

A Knowledge Base consists of categories (the portal's sidebar navigation) and entries (articles). Every entry points to one share link — the article's content is a shared document from your account.

Categories

  1. Add a category — In the base view, click Add category and name it, e.g. "Getting started".
  2. Pick an icon and color (optional) — The icon and color show next to the category name in the portal's sidebar.
  3. Arrange the order — Drag categories to reorder them — the public portal uses the same order.

Categories can form a tree up to 3 levels deep — create a subcategory by picking a parent category. Limit: 20 categories per base.

ℹ️ Info: Deleting a category doesn't delete its entries — articles from a removed category become uncategorized and remain available in the base. Subcategories are deleted together with their parent.

Entries

You add an entry from the list of your shares:

Step 1 — Click Add entry

In the chosen category (or outside categories), click Add entry.

Step 2 — Pick a document

Choose an existing share link, or a document without one — clarife creates the link automatically.

Step 3 — Fill in the title and description

The title and description show in navigation, listings, and search results. A good description makes articles much easier to find.

Step 4 — Check the slug

The entry's slug forms the article address:

https://clarife.app/kb/your-slug/entry-address

It's generated from the title; you can change it before saving.

Limit: 200 entries per base. A share link can appear in a given base only once.

💡 Tip: Entry order within a category is also drag-to-reorder. The dashboard order drives the sidebar layout and the "previous / next" navigation under articles.

Home page

In the base settings you can pick a home entry — the article shown on the portal's home page (e.g. "Welcome to the help center"). Without one, the home page shows an automatic overview of categories and articles.

State of attached links

The portal only shows working articles:

  • entries whose share link is disabled or expired are hidden automatically,
  • in the dashboard those entries carry a warning badge, so you immediately see what needs attention.

Link gates (password, email verification) work in the portal exactly like at the /s/... address — more in access and gates.


Can one document be in several bases?

Yes. In each base you attach the same share link (or different links to the same document) — e.g. in an English and a Polish base.

Can I change the document behind an entry?

Not directly — an entry is permanently tied to its share link. Delete the entry and add a new one with the right document.

What happens to an entry when I delete the document?

Deleting a document disables its share links, so the entry disappears from the public portal. Delete the entry manually to tidy up the dashboard.

Can entries live outside categories?

Yes — uncategorized entries show at the end of the sidebar, outside the groups.
